Guidelines for poster presenters

1. Introduction

Thank you for agreeing to participate as a poster presenter at ETC11.

For the success of your poster presentation we kindly ask you to read carefully and follow the instructions and suggestions below.

2. Poster presentation

The poster presentation comprises two parts:

  • a so-called "Poster Flashing Session", to be held in the Auditorium, during the first day of the conference, June 25, from 11:15 to 12.55.
  • presentations to take place any day of the conference, mainly during the coffee-breaks and lunch time.

The Poster Flashing Session is nothing else, but a session where, based on 1 transparency and 1 minute only, you will have the chance to introduce yourself and call the attention to your poster. Discussions and detailed presentations may occur during the conference breaks.

The overhead transparency may contain the title, authors and main conclusions of your poster.

3. Posters style and display

The posters will be displayed during the 4 days of the conference, along the windows of the main corridor; a pathway that the participants will walk many times, connecting the auditorium (where the plenary session will take place) and the additional 3 lecture theatres.

Posters will be fixed to the glass windows using double-face sticky tape, made available to you at the secretariat.

Authors are asked to be available for questions and contacts with other participants, which can also leave notes and ask for meeting poster authors.

4. Poster presentation suggestions

We recommend using PowerPoint to create your poster.

A heading for the top of the poster should be prepared indicating:

  1. Title, the same as in the conference programme,
  2. Author(s), and
  3. Institutional affiliation of the author(s). The main heading font should be at least 10 cm.

The poster should be legible from a 2 meter (7 feet) distance away from the poster. To ensure this, all texts for content and figures should be no less than 4 cm high. Subheadings should be 8 cm high. All figures should be clear and well annotated. Figure headings should also be legible.

Poster size
The maximum size of the poster is 70 cm wide by 90 cm high. Posters exceeding that size cannot be presented.
Poster location
Poster's locations, organized by topic, will be indicated on labels attached to the glass windows. These labels mark also the centre of the area at your disposal and must be covered by your poster.
Poster mounting
All poster presenters must mount their posters in the correct location, before the opening session starts, i.e. before June 25, Monday 8:30. There will be attendants available to assist with locating the correct board and to supply fixing/mounting materials.
Removing the poster
Your poster must be in display for the whole time of the conference. Posters must not be removed before June 28, Thursday at 12:30. Earlier removals can be accepted, in case you are leaving earlier. Any poster remaining after the June 29, Friday will be removed and discarded.
Handouts
You can also distribute handouts to supplement your poster.

5. Poster and oral presenters' substitutions

If for some last minute reasons you cannot attend the conference, please let us know ASAP, and please provide a replacement recommendation.

6. Reminder

Things to bring with you at the conference:

  1. Poster print out
  2. Duplicate copy of poster print out (recommended - just in case)
  3. Handouts (optional)
