Guidelines for chairs

1. Introduction

Thank you for agreeing to chair a session at ETC11.

For the success of the session we kindly ask you to read carefully and follow the instructions and suggestions below. You may also read the "Guidelines for oral presenters".

2. Session information

For the day and time of the session or sessions that you are chairing, you must check the ETC11 Programme.

3. Presentations

The allocated time for presentation is 15 min plus 5 min for discussion. At every 20 min a new presentation must start simultaneously in the 4 parallel sessions of the conference.

In order to keep the session in time and to allow questions from the audience, keeping the presentations within the allocated time is compulsory. It is your duty to cut short any presentations which over run the allotted time.

4. Speakers' biographies

Each presenter was asked to provide a short biography (a maximum of 10 line text) that he/she must hand to you before the session starts. Please use that information to introduce each speaker at the beginning of the session.

5. Meeting the speakers

It is essential that session chairs and speakers meet 10 minute before their session starts. These meetings will give you a chance to meet the presenters, discuss the presentations and the format and expectations of your session.

The meetings will take place on the room, before the session starts. Assistants of the organization will be on hand to assist with all your queries.

6. Before the session

  • Ensure that you have met the presenters and that you have their short biographies with you.
  • Remind the presenters about the time limits that will be imposed to them (see point 3).
  • Remind the presenters to switch off their mobile phones.
  • Session chairs should arrive at their session room 15 minutes prior to the start of the session.
  • Assistance will be available in all rooms in case you have any technical questions.

7. During the session

  • At the beginning of the session, please introduce yourself to the audience and mention about the sequence of papers (usually in the order listed in the programme).
  • Please introduce each author and the paper title briefly.
  • Signal the speaker when his/her time is almost over. In order to keep the session in time and to allow questions from the audience, keeping the presentations within the allocated time is compulsory. Session chairs are requested to cut short any presentations which over run the time.
  • Session chairs are encouraged to stimulate discussions from the floor as well as ask speakers questions themselves.
  • Close the session with a summary or closing remarks and an appropriate thank you to the participants.
  • Make any announcements that you have been given by the programme responsible.

8. Absent presenters

In case there is any missing speaker at your session, please check first with the room hostess before cancelling his/her presentation.

If the speaker's absence is confirmed, please fill in the remaining time by allowing slightly longer time for more questions from the audience. You should not in any case change the starting time of the presentations. Please remember that it is important to keep the synchronization between sessions.

9. Room set-up and audiovisual equipment

All rooms are equipped with a microphone, projector, screen, remote control, laser pointer and computer with PowerPoint (operating system Windows). There will be an AV operator and hostesses assigned to each session to run the audiovisual equipment, hold the microphones for audience participants and help you with any query you may have.

10. Onsite checklist

  • Pick up your session chair badge from the Speakers/Chairs registration desk within the conference registration area.
  • Check for any last minute change of your session or sessions.
